What Drives the Cost of an Orlando Game Show

No per-head fees and no surprise line items. A plain explanation of the seven things that actually move the price of game show entertainment for an Orlando corporate event.
Every quote request we get asks the same thing in a slightly different way: what does this cost, and why does it cost that? Fair question. Here is the honest version — the seven factors that move the number, and the ones that do not.
What does not change the price
A few things planners expect to be variables and are not:
- Headcount, up to a point. We do not charge per person. A 60-person show and a 250-person show use the same host, equipment, and run time. Very large groups — typically 400 or more — do add cost, because they need additional equipment and sometimes a second operator.
- Distance within Central Florida. Orlando, Kissimmee, Lake Buena Vista, Winter Park, Sanford, Maitland, and Celebration are all inside our normal service area. Travel charges start to appear for events well outside the metro, like the Space Coast or Tampa.
What does change it
1. Group size at the extremes. Under 20 guests, we can scale the equipment down. Over 400, we scale up: more buzzer sets, a larger screen, and a second crew member to run scoring.
2. Show length. A 45-minute program and a 120-minute program are different productions. Longer shows need more content written, more rounds, and often an intermission structure.
3. Format. Smartphone trivia is the leanest setup because guests use their own devices. Buzzer formats add equipment and distribution. Formats with physical props or a stage element add more.
4. Customization. Standard format with fresh questions is one thing. Writing rounds around your company's products, internal milestones, or a specific theme is another, and it takes preparation time. Groups that want their own content woven in almost always say it was worth it — it is the difference between a rented show and their show.
5. Date and season. January through March and October are peak corporate season in Orlando. Off-peak dates sometimes have more flexibility, and short-notice bookings within a week are priced by whether the date can actually be staffed.
6. Venue requirements. If a hotel requires its in-house AV team to handle sound, that cost usually sits on the venue bill rather than ours, but budget for it. Some properties also charge outside vendors a facility fee or require additional insurance.
7. Extras. Prizes, a photo or video deliverable, branded scoreboards, and added host time for awards or sponsor mentions all add line items.
How to get a useful quote
Send five details and you will get a number instead of a range:
- Date and start time
- Guest count and how many teams you want
- Venue name and room setup
- Show length and whether awards or sponsor moments are included
- Whether you want custom content
With those, we quote a flat program fee. No per-head fee, no charge for the number of rounds, no surprise equipment rental on the invoice.
If you are early in planning and just want to know whether your date is open, check availability. If you are comparing formats before you commit to a budget, the signature shows page shows what each one requires.
